POSITION OVERVIEW:
The Chief Operations Officer (COO) is a key leader of the Phoenix Center management team, responsible for overseeing daily operations and ensuring effective and efficient operational processes. Reporting to the CEO and Board of Directors, the COO will collaborate closely with relevant stakeholders to implement the organization’s strategic vision, manage internal operations, and drive operational excellence. This role requires strong leadership skills, a deep understanding of nonprofit administration, and an unwavering commitment to the organization’s mission. The ideal candidate will be adept at translating strategic objectives into actionable plans, optimizing resources, and fostering a culture of continuous improvement. 

KEY RESPONSIBILITIES:

Strategic Leadership
  • Collaborate with the CEO and Board of Directors to develop and implement strategic plans that advance the organization’s mission.
  • Translate strategic objectives into actionable plans with clear deliverables and timelines.
  • Provide leadership and direction to all operational functions to ensure alignment with the organization’s mission and goals.
  • Provide operational and strategic updates and reports to the Board of Directors.
  • Support the CEO and Board with governance matters, including policy development and strategic planning.
  • Ensure Board decisions are implemented effectively across the organization.

Operational Management
  • Establish performance metrics for operational activities, regularly assessing efficiency and effectiveness.
  • Develop, implement, and monitor operational policies and procedures to enhance effectiveness.
  • Drive continuous improvement practices to enhance overall impact.
  • Ensure compliance with all legal, regulatory, and funding requirements, including HIPAA.
  • Monitor grant deliverables to ensure alignment with organizational objectives and provide regular reports to the CEO on progress.
  • Lead the human resources function, focusing on recruitment, retention, training, and development of staff to build a high-performing team.
  • Foster a positive organizational culture through effective HR policies and practices.
  • Ensure effective internal communication and collaboration across all departments.
  • Oversee IT infrastructure to ensure it meets operational needs while maintaining data security and compliance with relevant regulations.
  • Implement and manage software and technology solutions to enhance operational efficiency.
  • Manage facilities maintenance and ensure a safe, welcoming environment for staff and clients.

Financial Leadership & Risk Management
  • Collaborate with the CEO and Board of Directors to develop and manage the organization’s budget while ensuring financial controls are in place.
  • Optimize operational budgets for cost-effectiveness and financial sustainability, monitoring performance and implementing corrective actions as needed.
  • Ensure data security and compliance with relevant data protection regulations
  • Identify operational risks and develop strategies for mitigation while ensuring preparedness for emergencies and contingencies.
  • Ensure the organization is prepared for emergencies and contingencies.

Fundraising & Community Engagement
  • Support fundraising efforts by providing operational assistance and maintaining relationships with key stakeholders, donors, and partners.
  • Cultivate strong relationships with community leaders, volunteers, and other partners to enhance collaboration and support.

QUALIFICATIONS:
  • Bachelor's degree in business administration, nonprofit management, or related field; Master's degree preferred. Relevant professional experience may be considered in lieu of educational requirements.
  • Minimum of 10 years of experience in operational leadership roles, preferably within the nonprofit sector.
  • Proven track record of successfully managing and scaling operations in positive, dynamic environments.
  • Strong leadership and people management skills, with the ability to inspire and guide teams effectively.
  • Excellent strategic thinking and problem-solving abilities, capable of navigating complex organizational challenges.
  • Exceptional communication and interpersonal skills, adept at building relationships with diverse stakeholders.
  • Demonstrated ability to manage multiple priorities and projects simultaneously in a fast-paced setting.
  • Strong financial acumen with experience in budget management and financial planning.
  • Deep commitment to the mission and values of the organization.
  • Comfortable working in a professional office environment with the flexibility to accommodate occasional evening and weekend work.
  • Willingness to travel as needed for meetings, conferences, and events to further the organization's objectives.

COMPENSATION AND BENEFITS:
In addition to a competitive base salary ranging from $120,000 to $130,000, Phoenix Center offers comprehensive health insurance benefits, covering 80% of the costs. Employees also receive a professional development stipend to support their growth. The benefits package includes generous vacation, sick leave, and paid holidays, ensuring a well-rounded work-life balance.
